Process improvement at a car manufacturer

A leading car manufacturer needed lease agreements to be sent to its finance office and to various third parties such as solicitors, and sales outlets. These were sent by first class post, by fax, and in special cases by express courier.

The Problem

Although a reliable service, it was not particularly efficient. There were delays when sending agreements by post, the faxes to the finance office went to a central fax and had to be collected by the operators, requiring them to leave their desk, and using express couriers for urgent documents was expensive.

The company wanted to improve the process and called in Humphreys to see how we could help. After consultations with the company it was decided to implement our Scan on Demand™ service.

The Solution

Using Scan on Demand™ lease agreements can now be requested on line. They are retrieved from the fire proof safes in our warehouse, scanned, and can be viewed on the designated screen in a matter of minutes. The documents can be transferred to electronic files or printed out as hard copy.

Only authorised personnel are permitted to access the documents online and full compliance is in place.

Implementing Scan on Demand™ has significantly improved our client's business process, and at very little cost.

Green Docs. This is an example of our environmentally friendly Green Docs programme. In this case, using our Scan on Demand™ service reduced the amount of paper required and the environmental impact of transporting physical documents.
